EU Prime Serwis Refund Policy and Data Protection Agreement

EU Prime Serwis (NIP: 7011228130, KRS: 0001133506, REGON: 529955956) is dedicated to protecting the confidentiality and privacy of all clients, strictly following European data protection regulations, specifically the General Data Protection Regulation (GDPR) and relevant privacy laws. We take all reasonable steps to secure client data from unauthorized access, misuse, loss, alteration, or disclosure. Information collected by EU Prime Serwis is used solely to conduct business operations, communicate with clients, fulfill legal obligations, and improve our services. Client data will never be disclosed to third parties without explicit consent unless required by law. Our refund policy is outlined transparently in this agreement, and by engaging our services, all clients agree to the terms herein, including refund eligibility, data protection, and client responsibilities. In general, refunds are not issued for early withdrawal from services, and any refund requests are reviewed under the conditions outlined below.

Refund Policy Conditions

Refund eligibility is strictly applicable to clients who have completed payment for the entire service fee, with no outstanding balance. The refund percentage, if applicable, pertains only to consulting fees paid directly to EU Prime Serwis, excluding taxes or administrative charges, which are strictly non-refundable. Refunds may be considered if an application is denied by a relevant authority, contingent on the client’s submission of a completed Online Refund Claim Form and supporting documentation, such as a formal rejection letter. Upon submission and verification of all required documentation, approved refunds are typically processed within 30-45 working days, though processing may extend due to procedural delays outside of our control.

Client Responsibilities and Eligibility for Refunds

Clients are responsible for ensuring that all required documentation and information provided to EU Prime Serwis is complete, accurate, and submitted within the specified timelines. Delays, inaccuracies, or incomplete submissions on the client’s part may affect their eligibility for refunds, as EU Prime Serwis cannot be held responsible for delays or denials due to client omissions or errors. Clients must also communicate any changes in circumstances promptly, such as a change in marital status, address, or financial situation, which could impact their application. Failure to maintain timely and accurate communication with EU Prime Serwis could render a client ineligible for a refund.

Withdrawal of Services and Abandonment Policy

EU Prime Serwis reserves the right to withdraw or suspend services without issuing a refund if a client fails to respond to communications or does not submit necessary documents within the designated timeframe. Abandonment of a case, defined as non-communication for a continuous period of three months, will result in the termination of services without refund eligibility. Additionally, clients who voluntarily choose to withdraw from services due to personal reasons or changing circumstances are not entitled to any refund.

Force Majeure and Exceptional Situations

EU Prime Serwis is not liable for delays, cancellations, or disruptions due to circumstances beyond our control, including natural disasters, pandemics, acts of war, government restrictions, or significant changes in immigration policy. In these exceptional situations, services will be resumed as soon as feasible, though no refund will be provided solely on the basis of delays arising from such uncontrollable events. If a procedural issue from our side affects a client’s case, EU Prime Serwis reserves the right to review the case in good faith and may, at its sole discretion, determine whether a partial refund or alternative solution is appropriate.

Third-Party Fees and Charges

EU Prime Serwis service fees are separate and independent from any third-party fees, including but not limited to charges by immigration authorities, consulates, testing centers, or other regulatory bodies. Clients acknowledge that these external charges are not covered by EU Prime Serwis fees, and any requests for reimbursement of third-party fees must be directed to the respective entities. EU Prime Serwis service fees reflect our commitment to high-quality consultancy, set independently of market standards, and cannot be contested after registration. Refunds or service transfers to third parties are not permitted if the client voluntarily discontinues services.

Confidentiality and Data Protection

In compliance with GDPR, EU Prime Serwis ensures that client data remains confidential, secure, and used solely for agreed-upon purposes. Clients are obligated to disclose accurate and complete information essential to the immigration process. Withholding pertinent information, such as criminal history or financial status, that may affect the immigration process may lead to disqualification from refund eligibility. Transparency and cooperation from the client are essential to effective consultancy.

Limited Liability in Case of Immigration Policy Changes

EU Prime Serwis cannot predict or control changes in immigration policies or quota limits set by government agencies, which may impact application outcomes. Such changes may affect eligibility, timelines, and the success of immigration applications. Clients acknowledge that EU Prime Serwis is not liable for immigration outcomes or policy changes that result in denials, and no refund will be issued based on these factors.

No Guarantee of Outcome or Employment

EU Prime Serwis cannot predict or control changes in immigration policies or quota limits set by government agencies, which may impact application outcomes. Such changes may affect eligibility, timelines, and the success of immigration applications. Clients acknowledge that EU Prime Serwis is not liable for immigration outcomes or policy changes that result in denials, and no refund will be issued based on these factors.

Anti-Chargeback Policy

Clients agree not to initiate chargebacks or cancel payments via their financial institutions. Chargeback attempts will result in permanent blacklisting from EU Prime Serwis services, and any outstanding balances will be sent to collections. EU Prime Serwis reserves the right to recover costs associated with chargebacks through legal avenues.

Communication and Timely Updates

Clients are required to keep EU Prime Serwis informed of any updates or changes related to their application. This includes promptly notifying EU Prime Serwis of any official communications from immigration authorities or regulatory bodies, as well as changes to personal or contact information. Timely communication is essential to avoid service interruptions, delays, or misunderstandings that could impact the client’s eligibility for refunds or continuation of services.
